Managing Your Audio and Video

Managing Your Audio and Video

This article covers how to control your microphone, camera, and audio settings during a Motion Meetings session — including troubleshooting common audio and video issues.

Audio and Video Controls

Your audio and video controls are in the toolbar at the bottom of the screen. They are always accessible whether you are in the Speaker Room or the main meeting room.

  • Microphone button — Click to mute or unmute yourself. Red = muted, green = live.
  • Camera button — Click to turn your camera on or off.
  • Settings button (⚙️) — Open device settings to switch microphone, camera, or speaker output.

Switching Devices Mid-Meeting

If you need to switch your microphone, camera, or speaker during the meeting:

  1. Click the Settings icon (⚙️) in the bottom toolbar.
  2. In the device panel, select a new device from the Microphone, Camera, or Speaker dropdowns.
  3. The change takes effect immediately — no need to leave or rejoin the meeting.

Troubleshooting: No Sound from Others

  1. Check that your system volume is turned up and not muted.
  2. Click the Settings icon and ensure the correct Speaker output device is selected (e.g., your headphones or built-in speakers).
  3. Try refreshing your browser tab (you will rejoin automatically).
  4. If using Bluetooth headphones, ensure they are connected and set as the default audio device in your operating system.

Troubleshooting: Others Can't Hear You

  1. Confirm your microphone button is green (not muted).
  2. Check that Motion Meetings has permission to use your microphone — look for a microphone icon in your browser's address bar.
  3. In the Settings panel, select a different microphone and speak — watch the audio level bar to confirm the correct device is picking up your voice.
  4. On macOS, go to System Preferences → Security & Privacy → Microphone and ensure your browser is checked.
  5. On Windows, go to Settings → Privacy → Microphone and ensure your browser has permission.

Troubleshooting: Black or Frozen Video

  1. Click the camera button off, wait two seconds, then click it on again.
  2. In the Settings panel, switch to a different camera if available, then switch back.
  3. Close any other applications that may be using your camera (video conferencing apps, recording software).
  4. Refresh your browser tab.

💡 Tip

Always test your audio and video in the Speaker Room before the meeting goes live to participants. This is the best time to resolve any technical issues with the organizer's help.

Best Practices for Speakers

  • Use a wired headset — Wireless or Bluetooth headsets can introduce latency and dropouts. A wired USB or 3.5mm headset gives the most reliable audio.
  • Use a stable internet connection — Use Ethernet if possible, or position yourself close to your Wi-Fi router.
  • Mute when not speaking — Even in the Speaker Room, mute your microphone when others are talking to prevent background noise.
  • Good lighting — Sit facing a window or lamp so your face is well-lit. Avoid sitting with a window behind you.
