Joining Your Speaker Room
Joining Your Speaker Room
This article walks you through how to join the Speaker Room — the private pre-meeting space where you can prepare, test your setup, and coordinate with the organizer and other speakers before participants arrive.
Step 1: Find Your Invitation Email
Look for an email from Motion Meetings with the subject line containing the meeting name (e.g., "You're invited to speak at the 2025 Annual General Meeting"). The email is sent from the organizer's address on behalf of Motion Meetings.
📝 Note
Check your spam or junk folder if you don't see the email within a few minutes. Ask your organizer to resend the invitation if needed.
Step 2: Click Your Magic Link
- In the invitation email, click the Join as Speaker button or link.
- Your browser opens and you are automatically authenticated as a Speaker. No password is required.
- You land directly in the Speaker Room — not the main meeting room.

- Your browser will ask for permission to access your camera and microphone.
- Click Allow.
- If you accidentally clicked Block, you can reset permissions by clicking the lock or camera icon in your browser's address bar.

Before entering the Speaker Room, you will see a device check screen:
- Select your Microphone from the dropdown — speak and watch the audio level indicator.
- Select your Camera — confirm you can see yourself in the preview.
- Select your Speaker/Headphone output device.
- Click Join Speaker Room when ready.

ScreenshotWhat You See in the Speaker Room
The Speaker Room is a private video room visible only to Speakers, Guest Speakers, and the Organizer. Participants in the main room cannot see or hear what happens in the Speaker Room.
In the Speaker Room you have access to:
- Video grid showing all speakers currently connected
- Speaker Room chat (private)
- Meeting agenda and documents
- Meeting countdown timer showing time until the session goes live
Transitioning to the Main Room
When the organizer starts the live meeting, you will receive a notification in the Speaker Room. The organizer controls when you are moved on-screen in the main room. You remain in the Speaker Room audio until the organizer transitions you to the main presentation.
💡 Tip
You can switch between the Speaker Room and main room view at any time during the meeting from the navigation tabs at the top of your screen.
