Joining as a Guest Speaker
Joining as a Guest Speaker
This article walks you through the complete process of joining a Motion Meetings session as a Guest Speaker — from receiving your invitation to being ready to present.
What You Need
- A computer or laptop (recommended) with a modern web browser: Chrome, Firefox, Edge, or Safari
- A webcam and microphone (built-in or external)
- A stable internet connection
- Your invitation email from Motion Meetings
📝 Note
Mobile phones and tablets are not recommended for presenting. Use a desktop or laptop computer for the best presenter experience.
Step 1: Open Your Invitation Email
Find the invitation email from Motion Meetings in your inbox. It will contain your meeting name, date, time, and a personal Join as Guest Speaker button.
If you cannot find the email, check your spam folder. If you still cannot find it, ask your meeting organizer to resend your invitation.
Step 2: Click the Join Link
- Click the Join as Guest Speaker button in your email.
- Your default web browser opens and loads the Motion Meetings platform.
- You are automatically signed in as a Guest Speaker — no account or password required.

Before entering the Speaker Room, complete the device check:
- Camera — Confirm you can see yourself in the preview window. If not, click the camera dropdown and select your camera device.
- Microphone — Speak and watch the audio level meter move. If it doesn't move, select a different microphone from the dropdown.
- Speakers — Select your audio output device (e.g., headphones or speakers).
- Click Join Speaker Room.

You are now in the private Speaker Room. Only Speakers, other Guest Speakers, and the Organizer can see and hear you here.
- Introduce yourself in the Speaker Room chat if there are other speakers present.
- Review the meeting agenda visible in the Agenda panel.
- Confirm with the organizer what time you will present and whether you need to share your screen.
- Test screen sharing: click the Share Screen button in the toolbar and select your presentation window.
Step 5: When It's Your Turn to Present
- The organizer will alert you in the Speaker Room chat or by direct message when it is time for your segment.
- Make sure your microphone is unmuted and your camera is on.
- The organizer will surface you on-screen in the main meeting room. Participants will now see and hear you.
- Begin your presentation. If sharing slides, click Share Screen and select your presentation.
💡 Tip
If you are sharing slides, open your presentation in full-screen mode before the meeting starts so you can switch to it instantly when it's your turn.
After Your Presentation
Once your segment is complete, you can remain in the Speaker Room to observe the rest of the meeting, or you can leave by closing your browser tab. The organizer will let you know if they need you to stay for Q&A.
