Joining via Your Invitation Link

This article explains how to join your organization's AGM using the personalized magic link in your invitation email. The process is quick and requires no account, password, or app download.

What You Need

  • The invitation email from your organization or Motion Meetings
  • A modern web browser: Chrome, Firefox, Edge, or Safari (updated to the latest version)
  • A stable internet connection
  • A microphone (if you plan to speak or ask questions verbally) — optional

💡 Tip

You can join from any device — desktop, laptop, tablet, or smartphone — as long as it has a modern browser. For the best experience with voting, a desktop or laptop is recommended.

Step 1: Find Your Invitation Email

Look for an email from your organization (or from motionmeetings.com on their behalf) with the subject line containing your meeting name, such as "Your invitation to the 2025 Annual General Meeting."

The email includes:

  • The meeting name and date
  • A personal Join Meeting button or link
  • Instructions from your organizer

Step 2: Click Join Meeting

  1. Click the Join Meeting button in your email.
  2. Your browser opens and loads the Motion Meetings lobby.
  3. You are automatically signed in as an attendee — no password required.

📝 Note

Your magic link is personal to you. Do not share it — it is tied to your identity for voting purposes. If someone else uses your link, your vote may not be counted correctly.

Step 3: In the Meeting

You are now in the meeting. For most meetings, you watch the speakers through a livestream — you can see and hear what's happening, but you are not visible on camera yourself. Your panels on the side let you participate:

  • The agenda panel showing the current agenda item
  • Meeting documents available in the Documents panel
  • The Chat panel for public messages (if enabled by the organizer)
  • The Q&A panel to submit questions
  • Voting prompts when an election is open

📝 Note

If your organization is running a Main Room Only meeting, you will join the live video room directly and may appear on camera. Your organizer will let you know if this applies.

Can't Find Your Invitation?

If you can't find your invitation email:

  1. Check your spam or junk folder.
  2. Search your inbox for the meeting name or "motionmeetings.com".
  3. Contact your meeting organizer and ask them to resend your invitation. They can do this from the participant list with one click.
